Terms and Conditions for Epic Voyage Travel

Welcome to Epic Voyage Travel (“Epic Voyage Travel,” “we,” “our,” or “us”). By booking travel services through us, you (“Client,” “you,” or “your”) agree to the following Terms and Conditions. Please read them carefully before confirming your booking.

1. General Information

Epic Voyage Travel is an independent travel agency located in Placer County, California, affiliated with a licensed host travel agency. We act as an intermediary between you and third-party travel suppliers such as airlines, hotels, cruise lines, tour operators, and ground transportation providers (“Suppliers”).

We do not own, operate, or control any of these Suppliers. By booking through Epic Voyage Travel, you agree that we act solely as an agent for the Suppliers and that you accept these Terms and Conditions in full.

2. Booking and Payment

  • All bookings are subject to availability and confirmation from Suppliers.

  • Deposits are required to secure reservations; amounts and due dates vary depending on the Supplier and type of travel.

  • Final payment is typically due 45–90 days prior to departure, unless otherwise stated.

  • Failure to pay by the deadline may result in cancellation and forfeiture of deposits.

  • Payments may be made by credit card, debit card, or bank transfer.

Credit Card Authorization

By providing your payment information, you authorize Epic Voyage Travel and its host agency to process payment for the agreed-upon travel services. You also agree to abide by your card issuer’s terms and conditions.

3. Pricing

All prices are quoted in U.S. Dollars (USD) and are subject to change until full payment has been received. Prices are based on current exchange rates, taxes, and fuel costs. Epic Voyage Travel reserves the right to correct any pricing errors and will notify you of any changes prior to final booking confirmation.

4. Cancellations, Changes, and Refunds

  • All cancellation or change requests must be submitted in writing to Epic Voyage Travel.

  • Cancellation fees and refund policies vary by Supplier; many travel arrangements are non-refundable once booked.

  • Epic Voyage Travel may charge a service fee in addition to any Supplier penalties.

  • Refunds, when applicable, will be processed according to Supplier policies and may take several weeks to complete.

We strongly recommend purchasing comprehensive travel insurance to protect your trip investment.

5. Travel Insurance

Epic Voyage Travel highly recommends that all clients purchase travel protection insurance that includes trip cancellation, medical coverage, and interruption protection.

If you decline travel insurance, you assume all risks for losses or costs associated with cancellations, interruptions, or emergencies during travel.

6. Travel Documents and Requirements

You are responsible for ensuring that you have valid travel documents, including passports, visas, and health/vaccination certificates when required.

Epic Voyage Travel is not responsible for denied boarding, missed flights, or entry refusals due to incomplete or incorrect travel documentation.

7. Health, Safety, and Medical Issues

You are responsible for determining and meeting the health, vaccination, and medical requirements for your destinations. Epic Voyage Travel assumes no liability for illness, injury, or death while traveling.

We strongly recommend consulting with a medical professional before travel, especially for international destinations.

8. COVID-19 and Public Health Disclaimer

Travel restrictions and requirements (including vaccination, testing, and quarantine) vary by destination and may change without notice. Epic Voyage Travel is not responsible for additional expenses, delays, or disruptions caused by such changes or by your failure to meet entry or re-entry requirements.

9. Responsibility and Limitation of Liability

Epic Voyage Travel acts solely as an agent for Suppliers and is not responsible for:

  • The acts, errors, or omissions of any Supplier or third party;

  • Loss, injury, damage, delay, or expense resulting from acts of God, war, terrorism, pandemics, weather, strikes, government actions, or other causes beyond our control.

In no event shall Epic Voyage Travel’s liability exceed the total amount paid by the client for the specific service giving rise to the claim.

10. Client Conduct

Clients are expected to behave respectfully and comply with all laws, customs, and Supplier rules. Epic Voyage Travel reserves the right to refuse service or terminate a booking without refund for clients engaging in unlawful, disruptive, or unsafe behavior.

11. Privacy Policy

Epic Voyage Travel collects only the personal information necessary to facilitate your travel arrangements. Your information will not be sold or shared except as required to complete bookings or comply with legal obligations.

12. Governing Law and Venue

These Terms and Conditions are governed by the laws of the State of California, and any disputes shall be resolved exclusively in the courts of Placer County, California.

13. Acknowledgment

By booking travel services through Epic Voyage Travel, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.
